We’re looking for: 

 

Hello Mozart is looking for a part-time Project Coordinator & Executive Assistant to join our small friendly team! We’re looking for a highly organised, self-motivated individual with project management experience to assist the Managing Director with the day-to-day running of our busy AV creative agency.

 

Key Responsibilities:

  • Maintain the Managing Director’s inbox, diary and schedule, including day to day and long term management of priorities.

  • Work with the MD and edit team to track and manage projects, ensuring internal and external deadlines are met.

  • Set-up and implement processes to ensure smooth project management.

  • Identify, set up and manage a project management platform (such as Monday, Asana or Teamwork).

  • Ensure the client database is updated daily.

  • Coordinate and manage internal team and freelancers.

  • Work with MD to oversee the execution and delivery of all assets and social reversions detailed in the client brief.

  • Ensure that social channels and company website are kept up to date.

  • Summarise relevant UK film industry news on a weekly basis and identify potential new business. 

  • Assist Managing Director with administrative duties that may be reasonably expected.

  • Help to maintain a positive, friendly and efficient remote working environment and help ensure a smooth transition as we move back to an onsite or hybrid working model.

 

Key Requirements:

  • A keen eye for detail and a meticulous approach to schedules, project management and deadlines.

  • Advanced knowledge of Microsoft Excel and Word.

  • Advantage knowledge of Google Suite - Sheets, Docs and Drive

  • Basic knowledge of Adobe Creative Cloud suite, particularly Photoshop.

  • Ideal but not essential to have experience using project management platforms such as Asana, Monday.com or Teamwork.

  • Basic web design skills or experience of site builders like Wix.com

  • Basic knowledge and familiarity with post production terminology and processes would be a plus.

  • Knowledgeable and passionate about the UK’s independent film and TV landscape 

  • Be able to remain calm in high-pressure scenarios, never letting the pressure affect the quality and precision of the work.

  • Be proactive in their own time management and ways in which to help the smooth remote operation of the Hello Mozart studio.


 

Working From Home and Covid-19 Statement

 

Due to the unprecedented circumstances the world is experiencing due to the Covid-19 pandemic, to begin with, this will be a temporary position, with the aim to make the position permanent after a probationary period. 

 

We are currently running our operations remotely and envision returning to a hybrid WFH/onsite model in the future. We take the mental health and personal wellbeing of our team very seriously and therefore, where possible, we will be flexible around working hours and breaks under the current pressures of the pandemic.

Rate: £12 p/h

Hours: Part time - three days / 24 hours per week. Tuesday, Wednesday and Friday.
